A local Counseling Center is looking for an Intake Coordinator. The Intake Coordinator will attend to clients on the phone and in person, coordinate and organize appointments and documentation to facilitate the smooth running of the healthcare environment and support delivery of quality patient care. Must have positive attitude, patience and be confident in communication skills. This is a full time, long term position located in Redding, CA.

  • Excellent computer knowledge, including MS Word, Excel, Outlook, Google Calendar, and internet. 
  • Experience with Voip multi-line phone is preferred

Responsibilities of the Intake Coordinator:
  • Greet clients in a mental health setting, including clients who may be upset or in crisis
  • Ensure client information is accurate and up to date including billing information
  • Maintain and manage client records
  • Move clients through appointments as scheduled (notify clinician if they are running late)
  • Answer incoming calls and deal with inquiries, from clients, referral sources and public
  • Transfer calls as required
  • Verify insurance information
  • Schedule or reschedule client appointments as needed
  • Update clinicians of changes in schedule via phone or text
  • Collect co-pays and payments for accounts receivable 
  • Obtain external medical reports as required by medical professionals
  • Respond and comply to requests for information
  • Complete other clerical duties as assigned
  • Maintain stock of forms and office supplies
  • Ensure reception area is well maintained, neat and clean (dumping garbage, disinfecting common areas)
  • Safeguard client privacy and confidentiality (HIPAA)
  • Provide support services to clinicians i.e. faxing requests, writing letters, making copies
  • Provide support to office manager and executive director
  • Open building and prepare for the day as needed
  • Other duties as assigned
