Job Title: Executive Assistant 
Executive Assistant Summary: 
A faith based institution is looking for their next Executive Assistant. This position provides assistance and support to the Chief Business Development Officer, other members of the Advancement team and functions as the primary receptionist for the Advancement Office. Primary skills and duties needed to successfully execute this job include: excellent customer service, computer proficiency, performance of secretarial and clerical tasks.
Executive Assistant Qualifications: 
  • Bachelor’s degree preferred 
  • Secretarial experience 
  • Professional demeanor, dress, and presence 
  • Good communication skills 
  • Proficient in Microsoft Office (e.g. Word, Excel, Power Point, Outlook, etc.) 
  • Experience with institutional integrated database applications a plus 
  • High level of accuracy; must be good with details 
  • Must possess strong willingness to act as part of a team 
  • Ability to perform multiple projects at one time required 
  • Must work well with people, especially when greeting them in person and over the telephone 
  • Must have a cheerful attitude, professional appearance, and be able to remain calm under pressure 
  • Demonstrates a lifestyle and personal faith in accordance with the doctrinal and conduct statements of the University
Executive Assistant Benefits:
Monday-Friday, daytime, full time, long term
$16-$20/hr
Executive Assistant Responsibilities: 
  • Assist with recording and reporting fundraising data. 
  • Assist with report writing and illustration generation 
  • Need Excel, Word, and PowerPoint proficiency 
  • Answer telephones and assist walk-in traffic 
  • Work with institutional software to create mass emails from Advancement and help maintain donor records 
  • Participate in committees related to event planning as support to the Advancement department 
  • Initiate process of incoming daily mail 
  • Perform diverse clerical duties and special projects for advancement office staff as requested 
  • Assist in the preparation of reports, summaries, or replies to inquiries, selecting relevant information from a variety of sources 
  • Implement office relations tasks as requested 
  • Assist with appointment scheduling and reminder calls 
  • Maintain Advancement files and committee binders 
  • Assist and/or refer students/faculty/staff/visitors who come into the office with questions regarding the institution
  • Participate in on-going job training as needed 
  • Accountable for daily closure responsibilities of Advancement office 
  • Screen telephone calls and visitors in a polite and professional manner 
  • Operate standard office equipment, including computer, fax machine, copier, etc. 
  • Willingness to work varied hours when situation requires
  • Assist in the processing of departmental charges/reporting 
  • Serve as Advancement department liaison to other departments for special events as needed

  • Demonstrate good organizational and communication skills in the performance of job duties 
  • Supervises employees in accordance with all policies and procedures (for supervisory positions) 
  • Support the overflow needs of other departments within the respective university area 
  • Perform other duties in accordance with this position as deemed necessary by the immediate supervisor
