A local home healthcare service that provides top quality in-home care is looking for an Administrative Assistant. This position would provide administrative support to ensure efficient operation of office. Answers phone calls, schedules meetings and supports visitors. Carries out all administrative duties such as, creating healthy and inviting work environment, completing daily tasks, and assisting with other duties when needed by CEO or Co-workers. The ideal candidate would be polite, friendly, and extremely capable admin assistant, with a passion for delivering excellent support. Holds excellent communication and listening skills that allows for successful communication with all clients and guests, face-to-face and over the phone. 
 
 
Requirements of the Administrative Assistant:

  • High degree of accuracy and attention to detail
  • Willingness and ability to learn new tasks
  • Must be able to multitask and work well under pressure
  • Great phone etiquette
 
Wages:
$16.00-$17.00 an hour depending on experience
 
Hours:
Monday-Friday 8:00 am – 5:00 pm
 
Responsibilities of the Administrative Assistant:
  • Answering and routing calls to the correct person
  • Organization (my space, office space, backroom, etc.)
  • Greeting visitors in a professional and upbeat manner (offering refreshments, etc.)
  • Keep reception area clean
  • Manage Office upkeep (maintenance, bug services, etc.)
  • Manage Alarm System
  • Manage Phone System
  • Liaison for Applied Technology 
  • Completing daily and weekly chores and tasks
  • Phone log- keep track of incoming and outgoing phone calls daily
  • Check inventory
  • Order items from Amazon Business account
  • Mail out invoices
  • Make new client and caregiver binder as needed
  • Make consultation packets
  • Create and hand out Newsletter and Time off requests
  • Stock all caregiver forms
  • Reaching out to Caregivers weekly
    • Have inspirational messages for them weekly (every Wednesday)
    • Reach out in regard to their PPE (every Monday)
  • Special projects as requested 
  • Make a master calendar when the office is closed
  • Be a good team player 
  • Make sure Clear Care stays cleaned up and organized
  • Monitor texting system/directing them to appropriate department
  • Other tasks as needed
Admin Assistant Daily Tasks:
  • Outgoing mail in mailbox 
  • Pick up mail before deadline
  • Take out trash
  • Empty shredding bins
  • Cleaning other parts of facility
 
Admin Assistant Monthly Tasks:
  • Send out Birthday cards, bereavement cards, etc. to caregivers and client
  • Put labels on envelopes 
  • Update Corkboard
