Account Payable Specialist Responsibilities  
  • Answer Telephone & Process Calls
  • Create Work Orders from customer calls (back up dispatcher)
  • Assist invoicing of work orders
  • New Hire Employment Packets
  • Schedule Background Checks & Pre-Employment Screenings
  • Customer Invoice copy, W-9 & Insurance Cert Requests
  • Scheduling & Tracking of Fleet Maintenance
  • File Management
  • Travel Arrangements
  • Sales Department Support – bid responses, proposal creation
  • Daily Mail Distribution
  • Office Supply Ordering
  • Enter and code AP & PO invoices
  • Process Payables on the 1st, 10th & 20th
  • Filing – AP & Contracts
  • Monthly Projections Report
  • Existing Customer updates
  • Enter new Customer contact information into Accpac site/CRM
  • Update Customer system types in CRM
  • Manage & Process Contracts
  • Contract Creation, Billing, Tracking & Job Costing
  • Track DIR Project Numbers
  • Create DAS140 Forms for Projects over $30,000
  • Quarterly CMAS Reports
  • Manage Master Contracts List & Reports
  • Process Support Contract Invoices
  • Job costing Entries & Reports
  • Process Quality Audit Emails
  • Close contracts monthly
  • Track Contract Payments (calls, emails to clients)
  • Create monthly closed contract list & envelopes for thank you letters
